Sr. Coordinator, Project, LP

GENERAL PURPOSE:


Provides support for all types of LP technology installation projects, (e.g. new stores, upgrades, remodels, maintenance/repair, etc.). Serves as the point of contact on all projects as assigned, interfacing with vendors, field management, and various corporate teams. As a point of contact, maintains a high level of internal Customer Service at all times. Responsible for developing best practices for tracking and communicating all project information, details and revisions as well as monitoring and follow-up of all project action items as assigned. Trains new Project Coordinators on best practices for project administration, communication and expense control processes.

ESSENTIAL FUNCTIONS:

Project Administration
  • Coordinates the equipment installation process for all projects as assigned.
  • Maintains project schedule(s) for Technology Manager or Lead, Project Coordinator.
  • Coordinates distribution of plans to field management and vendors; ensures that plans/files reach to the impacted field management in an effective and timely manner prior to installation date.
  • Validates and verifies equipment installations by reviewing photos and remote monitoring camera views
  • Handles contractor and store calls as needed.
  • Conducts on site visits before, during and after as needed for new and remodel stores as needed.
  • Handles permit requirements based on city jurisdiction. Works hand in hand with expeditor and Engineers to submit permit documents in a timely manner. Works with city officials as needed.
  • Performs other duties as assigned.
Project Communication
  • Communicates project scheduling, updates/revisions to Stores, Field Management and internal partners.
  • Schedules kick-off calls, daily check-ins and post mortem meetings with the Field Management and other business partners.
  • Provides installation schedule(s) to Communications Department for release.
Training and Best Practices
  • Develops best practices for overall project administration, communication and expense controls.
  • Responsible for successful onboarding and training of new Project Coordinators, including training on project, communication and expense control best practices.
  • Responsible for development and maintenance of project “playbook” that documents processes and best practices.
Expense Control
  • Develop and maintain project/vendor files.
  • Sends out bid plans and schedule scope meetings with partners (internal and external) to ensure that scope of work for each project is clear and accurate.
  • Gathers all required quotes and pricing in order to build the capital request for each project.
  • Works with the Finance team to manage the expenditure log to ensure that all capital costs tracked and logged appropriately
  • Processes installation invoices and tracks project cost data.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

  • Bachelor’s degree preferred
  • Minimum 1-2 years of experience in a retail environment
  • Project administration experience preferred
  • Strong planning and organizational skills
  • Proficient in Word and Excel
  • Available for minimal travel

PHYSICAL REQUIREMENTS/ADA:


No unusual physical requirements. Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility.

Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; travel or other inconveniences have advance notice; involves occasional exposure to demands and pressures from persons other than immediate supervisor.

Job frequently requires sitting, handling objects with hands.

Job occasionally requires standing, walking, reaching, talking, hearing, and lifting up to 10 pounds.

Vision requirements: Ability to see information in print and/or electronically.
