Facility Coordinator

GENERAL PURPOSE:


The Ross Facility Coordinator for Corporate Properties will be located at our New York Buying Office (NYBO) location. This role will primarily be responsible for the overall contract management, preventative maintenance management and vendor performance management for facility related maintenance and project work at the NYBO location and other East Coast property locations as required.


ESSENTIAL FUNCTIONS:


Contract Management

  • Maintain service contracts for repairs, preventive maintenance and project related services to meet the goals of Corporate Properties.
  • Work with contractors to generate new, or renew existing, contracts.
  • Negotiate, or bid as required, pricing for labor and materials.
  • Ensure all vendors meet safety training requirements.
  • Ensure all contracts operate within budget requirements.

Preventive Maintenance (PM) Management

  • Schedule contracted vendors to complete preventative maintenance services for various mechanical and regulatory items.
  • Reconcile PM service tickets and results with generated work orders.
  • Upload results and address as appropriate areas of deficiencies.
  • Maintain work orders through completion.

Vendor Performance Management

  • Develop and manage a Facility Management (FM) supplier performance management program that ensures supplier’s performance aligns with contractual obligations and market benchmarks.
  • Develop key performance indicators that accurately assess vendor performance.
  • Ensure performance standards are communicated to all as required.
  • Establish vendor scorecards that reflect performance outcomes.
  • Monitor and analyze performance data and generate reports.
  • Identify performance gaps and take actions to ensure contractual obligations are met.
  • Ensure high levels of integrity.
  • Follow up on all corrective measures.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

  • Experience managing building repairs and service and maintenance vendors
  • Bachelor Degree in Engineering or Business preferred
  • 5-7 years Facility Management or Applicable Procurement Experience
  • Experience working with construction / facility related service providers
  • Must be self-motivated and work well with minimal supervision
  • Must interact with all levels of personnel and management

PHYSICAL REQUIREMENTS/ADA:


Job requires ability to work in an office environment, primarily on a computer.

Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.

Consistent timeliness and regular attendance.

Vision requirements: Ability to see information in print and/or electronically.
