Coordinator, Human Resources (Records - Onboarding Team)

GENERAL PURPOSE:
The HR Records Coordinator is responsible for supporting HR Records & HRIS team members in their maintenance of Ross Stores, Inc. Recruiting, OnBoarding, and Human Resource systems PeopleSoft, Talent Source, HireRight & Service Now). This would include performing data entry and ensuring data integrity in support of store and department setup and maintenance, as well as new hire processing system functionality. The HR Records Coordinator will also run existing queries and send resulting data to both field and corporate clients. Other responsibilities would include general administrative tasks using Microsoft Office tools, such as creating communications and following up with Ross associates to ensure unresolved issues are addressed.

ESSENTIAL FUNCTIONS:
  • Support corporate HR Records & HRIS Team by maintaining stores and departments in PeopleSoft, including entering new store detail into PeopleSoft panels 3 times/year by following existing instruction document, requesting information from corporate departments to enable New Store setup, distributing store alignment updates to vendors after running an existing query, creating new departments in PeopleSoft using information provided by Finance department, correcting inaccurate associate data, and maintaining Department/Division table by ensuring all new departments are entered into the appropriate division panel.
  • Support all Business Units (Stores, Corporate, Distribution Centers and/or Buying Offices) new hire processing system functionality and E-Verify compliance, including monitoring store compliance with I-9 completion and E-Verify processing through use of PeopleSoft and OnBoarding systems, contacting stores to address E-Verify non-compliance.

  • Service Now Cases - Respond and/or process all SNOW in a timely manner by verified all issues in HireRight, Talent Source and PeopleSoft systems. Assist with Password resets and with auto-termination holds/rehire processes.
  • Perform HR Records & HRIS administrative tasks, creating notifications, creating reference documents, using Microsoft Office, OneNote.
  • Upload Pay Cards into PeopleSoft weekly
  • Run existing queries weekly, biweekly & monthly and send resulting data to both field and corporate clients.
  • Monitor & process the New Hire feed errors and I9 Task daily. Run the HireRight Audit report on a weekly and update Talent Source & PeopleSoft with the correct information.
  • Accurate Background Reporting - On monthly basis run Accurate Background reporting against PeopleSoft data, as requested from the Background Team
  • GOB Process - Going out of Business stores, updating Security Trees, Department and Location Tables as needed

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

  • Bachelor’s Degree required
  • 0-2 Year(s) experience of related work experience
  • Ability to set priorities with strong organizational & follow-up skills; Well-organized & detail-oriented
  • Preferred: basic knowledge of PeopleSoft
  • Preferred: basic knowledge of Microsoft Office: Excel, Word & Outlook
  • Strong verbal & written communication skills
  • High degree of integrity
  • Must be able to maintain a high level of confidentiality and have excellent interpersonal skills
  • Ability to work with minimum supervision
