Senior Coordinator, Real Estate


To accurately and timely enforce pertinent provisions of lease agreements, sublease agreements, lease amendments, waiver documents, and letter agreements that relate to the execution and notarization of Ross legal documents and legal notifications, to ensure timely performance by Ross and its Landlords. Understand and update site and store information in PDSiteLink. Proofread and verify that lease agreements are in conformance with ROSS standards suitable for execution by the Regional Vice President, Group Vice President, Senior Vice President and President. Verify legal sufficiency of landlord’s execution and any revisions to legal documents. Research lease related issues and/or internal questions concerning store delivery notifications and amendments. Provide assistance to the Senior VP, Group VP, Regional VP, VP and Director with special projects and provide additional guidance to Administrative Assistants while assisting the department to meet its annual goals.


Compile and review all leases and exhibits, subleases, amendments, waiver documents for execution to ensure text and layout meet ROSS and legal standards. Directs File Clerk to copy and assemble documents and reviews for accuracy. Prepares all legal documents for execution of Regional Vice President, Group Vice President, Senior Vice President and President. Birddog the return of legal documents, contacting landlords, paralegals, attorneys and property managers to ensure the timely accurate return of legal documents.

Understand and updates data that pertains to Real Estate in PDSiteLink including understanding and obtaining the proper legal documentation to support such changes. Verifies, manages and updates PDSiteLink Data for all open and to be opened stores including monitoring of new stores by opening window, project type and, project assignment. Knowledgeable to tracks the flow of all legal documents in process.

Prepares and verifies all information for lease draft initiation after the executive Real Estate Committee meetings; directs Administrative Assistant to disseminate information to Vice President of Real Estate Law. Proofreads and verifies all information for architectural and construction coordination post executive Real Estate Committee meetings and directs Administrative Assistant to disseminate information to Vice President of Construction.

Negotiate with landlords to resolve any conflicts regarding execution and finalization of documents. Ensure required landlord CAD shell and elevations are properly submitted to Store Design for Top 20 Weekly review. Responsible to provide most current prototype architectural drawings are being furnished to prospective turnkey landlords.

Field and respond to real estate site inquiries. Receives all telephone calls for the SVP, GVP, RVP, Director using independent judgment to handle and/or redirect callers to appropriate department for resolution/assistance.

Responsible for determining and making travel schedules and arrangements , including ground transportation, hotel accommodations, itinerary planning, meeting coordination, and ensure office requirements and facilities at destination are arranged, if required. Prepares and processes expense reports.

Coordinate, schedule and develops content for onsite landlord portfolio review meeting of existing stores and prospective or future opportunities.

Special projects as assigned.

Provides training for Real Estate Coordinators and temps.

Minimum 4-6 years of progressive responsibility in legal dept. or retail real estate dept.

College degree preferred.

Must have an ability to understand legal terminology and interpret specified Lease clauses; and demonstrate an ability to communicate with Landlords regarding those clauses.

Must have excellent verbal and written skills.

Must have excellent organizational skills and be detailed oriented.

Must be multi-task oriented.

Must have excellent negotiation skills

Must have strong PC and excel skills.

Must demonstrate use of independent judgment

Must be able to work independently with little or no supervision

Experienced Notary Public


Job requires ability to work in an office environment, primarily on a computer.

Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.
