Project Coordinator

GENERAL PURPOSE:

Provides support of all fixture installation projects, (e.g. New stores, remodels, expansions, and new depts.) Serves as the point of contact on all projects as assigned, interfacing with Field Management, various Corporate Departments and vendors. As a point of contact, maintains a high level of internal Customer Service at all times. Responsible for tracking and communicating all project information, details and revisions. Responsible for the monitoring and follow-up of all project action items as assigned.

ESSENTIAL FUNCTIONS:
Project Administration
Coordinates the fixture installation process for all projects as assigned.
Maintains project schedule(s) for Installation Project Manager.
Produces and distributes bid packages, award letters, and installation contracts.
Coordinates distribution of plans to Field Management and vendors; ensures that plans/files reach to the impacted Field Management in an effective and timely manner prior to installation date.
Develops remodel phase plans.
Handles contractor and store calls as needed.
Conducts on site visits before, during and after as needed for new and remodel stores.
Performs other duties as assigned.
Project Communication
Communicates project scheduling, updates/revisions to Field Management and internal partners.
Schedules kick-off calls, daily check-ins and post mortem meetings with the Field Management and other business partners.
Provides installation schedule(s) to Communications Department for release.
Expense Control
Develop and maintain project/vendor files.
Sends out bid plans and schedule scope meetings with partners (internal and external) to ensure that scope of work for each project is clear and accurate.
Gathers all required quotes and pricing in order to build the capital request for each project.
Work hand in hand with Finance team to ensure that budget is followed and forecast is reported each month.
Process installation invoices and track project cost data.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

Minimum 5 years experience in a retail environment
Project administration experience preferred
Strong planning and organizational skills
Proficient in Word and Excel
Available for minimal travel

PHYSICAL REQUIREMENTS/ADA:

No unusual physical requirements. Requires no heavy lifting, and nearly all work is performed in a comfortable indoor facility.
Routine deadlines; usually sufficient lead time; variance in work volume seasonal and predictable; priorities can be anticipated; some interruptions are present; travel or other inconveniences have advance notice; involves occasional exposure to demands and pressures from persons other than immediate supervisor.
Job frequently requires sitting, handling objects with hands.
Job occasionally requires standing, walking, reaching, talking, hearing, and lifting up to 10 pounds.
Consistent timeliness and regular attendance.
Vision requirements: Ability to see information in print and/or electronically.
