Maintenance Data Entry Clerk - DC

GENERAL PURPOSE:
To assist the maintenance management team with its administrative requirements such as accurate and timely completion of all data entry in the Computer Maintenance Management System (CMMS). Purchase maintenance replacement parts interacting with approved vendors directly or through their web based ordering systems. Interact with the maintenance team providing system generated work orders to ensure timely completion of emergency, scheduled, and preventative maintenance.

ESSENTIAL FUNCTIONS: % OF TIME
  • Data entry of maintenance department daily time recording sheets into CMMS 30%
  • Issue and receive operational supplies and maintenance parts to and from physical inventory locations and CMMS, conducts weekly cycle counting of all storage locations 30%
  • Provide phone support to operations for the documentation and dispatch of requests for immediate maintenance assistance 15%
  • Interact with outside vendors to purchase maintenance parts/supplies maintaining inventory levels within building guidelines. Provide and track vendor purchase orders ensuring proper classification to budgeted accounts 15%
  • Generation of reports pertaining to the consumption of supplies, spare parts, maintenance labor hours, and work order requests. 5%
  • Miscellaneous other administrative tasks: 5%
    • Participate in maintenance month-end providing required data
    • Work with DC finance team ensuring accurate reporting of operational supplies inventory levels

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:
  • High School Diploma
  • Strong P.C. skills including Microsoft Excel, Word, and Outlook
  • Ability to learn and become proficient of all functions within a Computer Maintenance Management System (CMMS) software program
  • Possess a valid state driver's license and pass forklift operator qualifications
  • Must have strong typing and 10 key skills
  • Must read, write, and speak English fluently
