Human Resources Coordinator (Records)

GENERAL PURPOSE:

The HR Records Coordinator is responsible for supporting the OnBoarding functional area in their maintenance of Recruiting, OnBoarding, and Human Resource systems (PeopleSoft, Talent Source, HireRight & Service Now). Assists with various tasks such as; ensuring data integrity in support of store and department setup/maintenance, ensuring proper completion of I-9s for Corporate/Stores/DCs and new hire processing system functionality. Other responsibilities would include general administrative tasks using Microsoft Office tools, such as creating communications and following up with Ross associates & their managers to ensure unresolved issues are addressed.

ESSENTIAL FUNCTIONS:

• Support all Business Units (Stores, Corporate, Distribution Centers and/or Buying Offices) new hire processing system functionality and E-Verify compliance, including monitoring store compliance with I-9 completion and E-Verify processing through use of PeopleSoft and OnBoarding systems, contacting stores to address E-Verify non-compliance.

• Service Now Cases - Respond and/or process all SNOW cases in a timely manner by reviewing & resolving all issues in HireRight, Talent Source and PeopleSoft systems. Assist with Password resets and with auto-termination holds/rehire processes.

• Perform HR Records & HRIS administrative tasks, creating notifications, reference documents, using Microsoft Office and OneNote.

• On a weekly basis update Talent Source with HireRight Audit change with the correct information.

• Support the HR Records Sr. Coordinator & HRIS Team with the following;
 Set-up, maintain and update new stores and departments in PeopleSoft, entering store/dept detail info 3 times/year by following existing instruction document, requesting information from corporate departments to enable New Store setup, distributing store alignment updates to vendors, creating new departments in PeopleSoft using information provided by Finance department, correcting inaccurate associate data, and maintaining Department/Division table by ensuring all new departments/locations are entered into the appropriate division panel.

 Review Pay Cards feed errors into PeopleSoft Daily
 GOB Process - Going out of Business stores, updating Security Trees, Department and Location Tables as needed
 Monitor & process the New Hire feed errors and I9 Task daily

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

• Bachelor's Degree required

• 0-2 Year(s) experience of related work experience

• Ability to set priorities with strong organizational & follow-up skills; Well-organized & detail-oriented

• Preferred: basic knowledge of Form I9 requirements

• Preferred: basic knowledge of PeopleSoft and OnBoarding systems

• Preferred: basic knowledge of Microsoft Office: Excel, Word & Outlook

• Strong verbal & written communication skills

• High degree of integrity

• Must be able to maintain a high level of confidentiality and have excellent interpersonal skills

• Ability to work with minimum supervision

PHYSICAL REQUIREMENTS/ADA:

Job requires ability to work in an office environment, primarily on a computer.
Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.
Consistent timeliness and regular attendance.
Vision requirements: Ability to see information in print and/or electronically.
This role requires regular in-office presence, including to engage in in-person team interaction, meetings and collaboration, client support, mentoring, coaching, and/or feedback. However, this role can perform duties effectively using a combination of in-office and remote work.
