Facilities Manager


GENERAL PURPOSE:

The Ross Facilities Manager for Corporate Properties will be located at our Los Angeles Buying Office. This role will primarily support the day-to-day facility operations and manage the office services functions, as well as supporting the long-term strategic direction for our Los Angeles Buying Office which is occupied by more than 300 Ross associates and contractors

ESSENTIAL FUNCTIONS:

  • Establish and grow strong and effective working relationships with local staff including senior management and process partners.
  • Assist to develop and execute a facility management model in support of Ross’ Corporate Headquarter and Los Angeles Buying Office occupancy and growth strategy.
  • Establish, maintain and evolve facility management service levels and support models to preserve capital investments and maintain an appropriate workplace environment.
  • Manage mail, copy, reception and other related operational activities.
  • Manage all third party vendors in accordance with scope, schedule, budget, service levels, key performance indicators and quality metrics.
  • Coordinate facility work orders between associates and vendors.
  • Coordinate facility requests and interactions with the Landlord for building services and to ensure all legal and legal obligations are met.
  • Manage moves, adds and changes (MAC) and employee on-boarding processes in conjunction with IT and in accordance with corporate policies and procedures.
  • Perform and manage the execution of repairs and maintenance activities in a prompt, reliable and cost-conscious way.
  • Create, manage and control operating and capital budgets related to building and premises repairs and maintenance projects.
  • Negotiate and administer facility services, materials and equipment contracts as appropriate.
  • Ensure that the workplace supports the health and safety of all employees and visitors and that all activities are in accordance with local law and code.
  • Participate in the development and implementation of facility management technology and automated solutions.
  • Coordinate with other internal departments as required.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

Minimum 7 years of experience in corporate facility management in a Corporate Campus or large office environment consisting of more than 300 employees.
Bachelor’s degree in business, engineering or real estate, Master’s degree preferred.
Strong working knowledge of building structural, mechanical, electrical and plumbing systems, as well as maintaining regulatory compliance.
Demonstrated ability in managing tactical execution while maintaining a strategic focus
Excellent written and verbal communications skills; ability to convey messages clearly and concisely.
At-ease working individually and in teams, and at all levels of the organization (internally and externally).
Comfortable with levels of ambiguity and managing multiple priorities simultaneously
Will be expected to work under tight timelines, often with short lead time; variance in work volume can be unpredictable as priorities can change quickly and there may be interruptions involves occasional exposure to demands and pressures from persons other than immediate supervisor.

PHYSICAL REQUIREMENTS/ADA:

Job requires ability to work in an office environment, primarily on a computer.
Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, handling objects with hands, etc.
Consistent timeliness and regular attendance.
Vision requirements: Ability to see information in print and/or electronically.
Job occasionally requires reaching and lifting up to 25 pounds.
