Director, Brand Maintenance and Repair

GENERAL PURPOSE:

Manage a team to ensure high quality, cost effective, and operationally accurate delivery of janitorial services, cosmetic repairs, and project management related to brand and maintenance issues in all stores. Effectively manage various store capital and expense budgets related to all repair and vendor contracts. Maintain and strengthen vendor relationships to ensure that appropriate service levels are met. Deliver consistent and accurate reporting of operational standards and project updates related to Janitorial and Repairs businesses. Maintain and report budgets for all areas of responsibility.

ESSENTIAL FUNCTIONS:

MANAGE THE DEPARTMENT TO ENSURE TIMELY AND COST EFFECTIVE RESPONSE TO STORE BRANDING ISSUES

• Responsible for managing the operational and financial aspects of Store Janitorial Services (including Daily Services, Floor Care and Periodic Overnight work) and Store Cosmetic Repair services through vendors and the team.

• Oversee a team of 9 associates (1 Senior Manager, 1 Manager, 1 Supervisor, 4 coordinators, 2 analysts) to ensure ongoing service levels and program execution in stores.

• Manage the team to ensure effective response and cost control of store repair and replacement issues; Provide tools/resources to support Stores with ongoing execution and management of janitorial and cosmetic repair processes.

• Manage the recruitment, training and performance of the team according to corporate guidelines and department policy.

• Respond to requests for services from Stores and others in accordance with company policies and vendor contracts, to ensures timely approval and completion of service requests.

• Prepare assigned budgets, accruals, variance analysis, forecast changes and track capital and expense budgets for management review and approval.

DEVELOP AND MAINTAIN VENDOR RELATIONSHIPS. MANAGE NEGOTIATION PROCESS

• Manage ongoing vendor relationships, proactively identify and address vendor performance issues, and ensure that Stores are serviced by vendors according to company expectations and service contract terms

• Negotiate agreements, coordinate contracts for review by the GVP of Store Operations, and approve invoices.
LONG-RANGE PLANNING & FORECASTING

• Review and estimate costs for service, materials, labor and other related costs in partnership with Store Operations team.

• Develop performance criteria for janitorial and cosmetic repair teams and vendors on operational requirements/metrics and lead contract pricing negotiations.

OTHER JOB DUTIES

• Maintain policies and procedures for Disaster Recovery, emergency response, and other forms of business continuity and liability protection.

• Maintain accurate and comprehensive records of vendor services and repairs and replacements, contracts, invoicing, and certificates of insurance.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

• 7-10 years of experience in vendor management, project management and operational support preferably in a multi-site, retail environment.

• Previous experience and knowledge preferred in janitorial services, repairs and maintenance.

• B.S. degree in Business or related field, preferred.

• Experience with staff management and budgeting.

• Position requires a demonstrated ability to effectively manage staff resources, negotiate contracts, and interface with store personnel, management and outside vendors.

• Ability to perform job functions independently and in a challenging environment. Ability to prioritize multiple tasks and perform accurately with short deadlines.

• Excellent communication skills, both oral and written.

• Demonstrated ability to build relationships with senior leaders, in both a corporate and field (stores) environment.

• Proficient in Excel, PowerPoint and Access Database

• Ability to solve problems and recommend solutions, using both qualitative and quantitative analysis.

• Comfort with communicating changes to field (store) leaders - particularly with regard to janitorial and repair service levels.

PHYSICAL REQUIREMENTS/ADA:

Job requires ability to work in an office environment, primarily on a computer.
Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.
Consistent timeliness and regular attendance.
Vision requirements: Ability to see information in print and/or electronically.
