Coordinator, Utilities Facilities

GENERAL PURPOSE:

Responsible for utilities payment processing, account reconciliations, usage analysis, variance analysis, budget preparation support, store utility set-up and disconnect, utility expense auditing, interaction with utility providers and 3rd party utility support vendors. Combined expense for electric, gas, water and waste is approximately $93 Million.


ESSENTIAL FUNCTIONS:

  • Ensure energy and waste bills are processed and posted to proper GL accounts in a timely and accurate manner both through 3rd party portal and through internal processes, by reviewing incoming bills and upload files for errors or inappropriate costs, GL code accuracy and reviewing history for missing bills. Set up utility services for new stores and cancellation of services.
  • Audit vendor portals for utility cost accuracy and timeliness of bill payment to prevent service interruptions and appropriate costs. Research bill discrepancies to identify billing errors and engage with manager and other departments to address controllable usage issues. Pursue and resolve potential issues.
  • Process manual bills received from municipalities that cannot be managed through 3rd parties to ensure timely and accurate posting to correct GL accounts. Convert manually received bills to 3rd party processes as is feasible, accounting entries as directed for manual postings and proper expense allocation.
  • Provide periodic and ad hoc utility expense analysis and reporting in support of expense reduction initiatives, budget and forecast preparation. Examples include Monthly usage and cost reporting at the store and enterprise level, store level outlier reporting to identify usage reduction opportunities, comparative analysis of store costs to validate savings initiatives.
  • Facilitate and participate in meetings and discussions related to assigned duties.
  • Document workflow processes and identify utility expense saving opportunities.
  • Special projects as assigned.

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

  • BS/BA Degree in Accounting, Finance or Business Administration.
  • 1-3 years of experience in utility management, multi-site cost analysis and/or related areas preferred.
  • Strong analytical skills.
  • Good understanding of accrual accounting.
  • Good oral and communication skills.
  • Proficient with MS Office Applications.
  • PeopleSoft familiarity a plus.
  • Detail oriented, with a strong emphasis on accuracy.
  • Ability to work independently or as a team member on projects of all sizes, prioritizes multiple tasks, and performs accurately with short deadlines.

PHYSICAL REQUIREMENTS/ADA:

Job requires ability to work in an office environment, primarily on a computer.

Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.

Consistent timeliness and regular attendance.

Vision requirements: Ability to see information in print and/or electronically.
