Coordinator, Payroll LOA

Responsible for timely and accurate coordination of LOA payments for Exempt and Non-Exempt associates for continuous and intermittent LOAs. Responsible for processing payments related to LOA Pay and researching returned checks and reissuing timely. Coordinate with state agencies and third-party vendors, if applicable, to pay associates accordingly. Maintain LOA payment and worksheet records to ensure proper trackability and for reporting purposes.


• Analyze all incoming LOA documents from state and 3rd party vendors or departments.

• Run daily queries for new or updated LOA entries which requires analyzing LOA type to determine Leave correct calculation of payment.

• Create worksheets for all associates on LOA to track approvals and LOA Type

• Calculate, Coordinate and reconcile LOA payment for Exempt and Non-Exempt associates both on cycle and off cycle

• Respond to employee, state and federal agencies inquiries in a timely and effective manner.

• Maintain all Leave of Absence payment records.

• Administer and interpret company policies and procedures while ensuring compliance with internal and external entities and their regulations.

• Assist on special projects as assigned

• Remain current on existing or new payroll guidelines, processes or any legislation impacting payroll.

• High School Diploma / GED.

• Requires 2-4 years Payroll Experience.

• LOA Processing experience a plus.

• Must be able to maintain highest level of confidentiality for all associate payroll and personnel records.

• Ability to provide excellent customer service while working with in a fast-paced environment, meeting deadlines and/or mandates.

• Ability to work in a team environment.

• Strong organizational skills, ability to set priorities.

• Strong written and verbal communication skills.

• Knowledge of PeopleSoft a plus.

• Strong Excel Skills and overall Microsoft suite.


Job requires ability to work in an office environment, primarily on a computer.
Requires sitting, standing, walking, hearing, talking on the telephone, attending in-person meetings, typing, and working with paper/files, etc.
Consistent timeliness and regular attendance.
Vision requirements: Ability to see information in print and/or electronically.
This role requires regular once weekly in-office presence or as needed, including to engage in in-person team interaction, meetings and collaboration and/or business partner support. However, this role can perform duties effectively using a combination of in-office and remote work.
